Job Description

Organizational Setting

The key mission of the FAO Representation in Somalia, which is led by FAO Representative (FAOR), is to assist and support the national government to develop policies, strategies and programme aimed at accelerating the Implementation and achievement of the Sustainable Development Goals (SDGs) in FAO’s global mandate and Strategic Objectives. More specifically, FAO’s response aims to address national needs and priorities in achieving food security, reducing hunger and malnutrition, developing agricultural, fishery and forestry sectors, and ensuring the sustainable use of environmental and natural resources and respond to recurrent emergencies. The current portfolio of activities of the FAO Representation in Somalia includes a wide scope of technical support interventions ranging from policy support through livestock and crop production, to natural resource management, Nutrition, value chain, food security analysis and water and land information management. FAO is also implementing several emergency, resilience-building, and development interventions, with the support of its five field offices and close to 400 staff in partnership with the Federal and State line ministries.

Reporting Lines

Under the overall supervision of the FAO Representative for Somalia, and the direct supervision of the Nat. Administrative Specialists in Mogadishu.

Technical Focus

The incumbent will be responsible for assisting staff members and consultants with processing travel bookings, travel authorizations (TAs), and travel expense claims (TECs), providing VIP services, and collecting and sending FAO items at the airport.

Tasks and responsibilities

• Process travel expense claims, by the organization’s rules and policies; verify travel performed against appropriate entitlements.
• Raise Local Travel Authorisations and Local Travel Expense Claims when required.
• Process travel invoices from travel Agents, UNHAS and EU Invoices as well as Accommodation invoices for Contracted Hotels.
• Identify, review, and claim refunds of travel costs from travel agents or travelers and take necessary follow-up action.
• Process authorized lump sum payments, travel advances, and post-factum travel claims and verify their correctness.
• Provide travel assistance to staff daily for travel arrangements and entitlements based on the organization’s rules and policies; liaise with relevant travel agents to ensure that the organization obtains the best service and price for all travel.
• Brief/de-brief staff members on issues relating to related administrative matters such as visas, security clearance, documentation procedures, etc.
• Should extract, input, maintain, and verify the correctness of travel records in the organization’s corporate travel system to ensure proper accounting transactions related to travel costs and staff travel.
• In consultation with the Travel/Admin Specialists assist in the preparation of budgets on travel costs and maintain travel budgetary and statistical control records.
• Assist in clearing outstanding travel-related balances by reviewing travellers’ recovery lists and taking the necessary follow-up action.
• Assist in the performance of clerical duties including but not limited to photocopying, binding documents, filing, archiving, packing supplies for field travel, etc.
• Maintain and regularly update a payment Tracker for the Travel unit.
• Receive all project inputs and facilitate storage together with the store clerk.
• Perform other related duties as required.

Skills and Qualifications
Minimum Requirements

• Diploma in Air Travel Operations or similar qualification.
• At least three years of professional experience in Air Travel Operations.
• Working knowledge (level C) of English and Somali.
• National of Somalia.
