Job Title: Warehouse Assistant – Banadir and Hirshabelle
Location: Mogadishu Main warehouse
Report to: Area Logistics and Admin Officer
Job summary:
The Warehouse Assistant is to maintain effective warehouse operations: goods receipt, storage, dispatch and Inventory management. S/he oversees operations in SOS CV Main Warehouses in Mogadishu and Balcad of Hirshabelle by ensuring adherence to the standards and proper documentation.
Job responsibilities:
· Plans, organizes, schedules, prioritizes and assigns the work of warehouse personnel;
· Participates in interview panels and recommends selection of candidates for warehouse jobs;
· Provides training and development for warehouse employees including lifting techniques, safe work habits, vehicle and equipment operation, and warehouse processes and procedures
· Evaluates and monitors the warehouse set up for safe working conditions;
· Prepares the annual budget for warehouse operations, orders warehouse equipment and supplies, and monitors expenditures;
· Plans and organizes the warehouse layout ensuring proper and safe storage, accessibility, and control of stock;
· Works with purchasing staff, vendors, site staff, and purchasing cooperative members regarding materials needed, shipping, and delivery;
· Plans, schedules and supervises delivery and pick up,
· Reviews and fills requisitions;
· Oversees the inventory process;
· Assists in the reissue, valuation, sale, disposal and/or recycling of surplus supplies and equipment;
· Oversees the preparation and processing of paperwork associated with warehouse operations; · Maintains current and accurate files and records;
· Prepares periodic and special reports; · Secures necessary repairs of equipment and fixtures
· Availing POs to Store Keepers for all newly received materials.
· Ensuring that all received items are properly checked and verified and GRNs are signed off upon verification of materials against the PO
· Ensuring that all signed GRN is received
· Rechecking and Verifying of Materials in case of any Variance before raising the Discrepancy report.
· Participating quarterly and annually physical stock taking exercise
· Ensuring that all Materials leaving the warehouse are Issued as per the signed Picking List.
· Ensuring that Storekeepers and porters pick items in proper locations as indicated on the Picking list
· Ensuring that all Picking lists are accurately completed before handing them over to the other sub warehouses/stores
· Ensuring that Materials are stored in their respective storage locations in the warehouse
· Providing guidance to Storekeepers during Issuance in case Requester has doubt of requested Materials
· Ensuring that all Stock transfers are done as per the SOS warehouse standard and System transfers are effected.
· Updating warehouses register and generate monthly report and share with the respective supervisor
· Planning and organizing Space for new deliveries
· Ensuring that all Project Materials returned to Warehouse followed the Material return
· Training warehouse Team on proper storage techniques
· Sector visit, ensuring that any discrepancies made in receipt and issuance must be investigated accordingly with a proper report
On a monthly basis, the warehouse Assistant is expected to perform the following duties:
· Preparing periodic warehouse capacity status inspection to advise on leaking/damaged containers
· Prepare monthly, quarterly and annually warehouse report
· Implement stock management procedures in main warehouses and sub-stores; ensure that the supplies are stored and rotated in an appropriate way, ensuring adequate controls are in place and regular stock checks are carried out to validate the systems, and update on a quarterly basis.
Skills and Qualifications
Job Competences /Qualification
– Bachelor degree in Procurement, Business Administration or Diploma with 2 years of experiences.
– Substantial knowledge of standard logistics (warehouse management) and practices required.
– Good knowledge of technical skills in IT
– Excellent communication skills and problem solving techniques
– Ability to multitask and deal with stressful situations.
– Ability to adapt within the working environment.
– Ability to work in a team setting.
– Good in speak and written English language.
